Privacy Policy
Last updated: 30 September 2026
We hold passports, national IDs and other government documents, so this policy says plainly what we collect, why, who can see it and how long we keep it.
1. What We Collect
Per the Candidate Intake Checklist, at registration and document upload we collect:
- Personal & contact: full name, date of birth, gender, marital status, nationality, address, phone, email, emergency contact.
- Identity & travel: passport details, national ID, prior overseas work or visa history.
- Photograph.
- CV, education certificates, experience letters and references.
- Trade or professional certifications relevant to your sector.
- A health declaration and consent record you complete during intake.
- Payment data for the initiation fee, processed by a PCI-compliant payment gateway — we never store raw card numbers on our servers.
- Usage data covered separately in our Cookie Policy.
2. Why We Collect It
Solely to operate the platform: verifying your identity and qualifications, matching you against employer contracts, supporting your visa application with our licensed partners, and complying with the immigration and labor law of both your source and destination country. We do not sell your data, and we do not use it for purposes unrelated to your placement.
Matching is done by software that scores your profile against employer contracts by role, location, experience and salary band. A TAPS specialist reviews the shortlist personally before anything is submitted to an employer, and no offer or refusal is decided by the software alone.
3. Who We Share It With
Your TAPS specialist and relevant internal staff; the licensed recruitment partners who carry out placement, contracting and visa filings in your source and destination countries, only for the files they are working on; the specific employer you are matched with, once matched (never before), who sees a limited profile and not your contact details, passport data or documents; government authorities where required for visa or labor-clearance processing (e.g., emigration clearance, OEC, labor permits); and our payment processor, for the initiation fee only; and, where you choose to use it, our live chat provider (Tawk.to), for anything you share in that conversation. We do not share your file with employers you have not been matched to, and confidential-contract employers never see candidate files outside their own matched shortlist.
Google Analytics (Google LLC) also receives limited visitor data, before you are a candidate: page views and a cookie identifier, only if you choose "Accept All" on the cookie banner. See the Cookie Policy for exactly what is sent and where it is not used. The language you choose on your first visit is remembered in a cookie in your browser. To suggest your language and show the fee in your own currency, our own server estimates your country from your IP address using a database held on that server (IP geolocation by DB-IP.com, licensed CC BY 4.0). The IP address is not sent to any other service for this and is not stored for it, and you can change the country at any time. If you pick a country yourself, that choice is remembered in a cookie.
4. How We Protect It
Documents are stored outside the public web root and are never served by a direct, guessable URL. Data is encrypted in transit (TLS). Passport numbers are also encrypted in our database, so a copy or backup of the database does not reveal them. Uploaded documents, including passport scans, are also encrypted on the server (AES-256-GCM), so a copy of the stored files does not reveal their contents; they are decrypted only when an authorised person opens them. Access to candidate files is limited to authorised staff, each with a personal login: a TAPS specialist can open only the files assigned to them, TAPS leads can open every file in order to assign and balance work, administrators can see all files and manage staff access, and staff opening a candidate file or document, together with administrative actions such as payment decisions, refunds, staff access changes and employer approvals, are recorded in an activity log. Employers can see only the limited profile of candidates matched to their own contracts.
5. How Long We Keep It
While your file is active, and for a limited period after placement or withdrawal to meet legal, tax, and dispute-resolution obligations. If you withdraw before being placed and request deletion, we remove your documents and identifying data beyond what we are legally required to retain (e.g., payment records for tax purposes).
6. Your Rights
Depending on your country of residence (including rights under India's Digital Personal Data Protection Act and equivalent frameworks in our other source and destination countries), you may have the right to access, correct, or request deletion of your data, and to withdraw consent for future processing. Contact your TAPS specialist or use the Contact page to exercise these rights.
7. International Transfers
Because placement is inherently cross-border, your data is necessarily processed in both your source country and your destination country. We limit transfers to what's needed for your specific placement and the legal requirements of both jurisdictions.
8. Changes to This Policy
We'll update this page as regulations or our practices evolve, and notify registered candidates of material changes.
